Privacy on these pages

If you speak or write to the assistant, or open the enquiry form, we record what you send: your name, the email address or phone number you provide, the treatment you are asking about, and the content of the conversation. If you upload x-rays or photographs, those files are stored privately and shared with the Roomchang team when you submit your details. They are not published, and they are not used to train anything.

We use this only to prepare your quote, answer your questions, and let a coordinator follow up. It is not sold, and it is not shared with advertisers.

When you talk to the assistant by voice, the call is recorded. The audio and a written transcript are kept by Roomchang and by the voice service that runs the assistant (ElevenLabs), so that the team can read what you asked for, prepare your quote, and understand what patients need. The assistant tells you this on screen before the call starts.

On the Khmer page the assistant works differently: each thing you say is sent to Google Cloud for speech recognition, the written text is answered in the same way as the text chat, and the reply is spoken by Microsoft Azure. Those audio clips are not stored by us; what is kept is the written conversation, as with the text chat.

Recordings and transcripts are kept until you ask for them to be deleted — write to contact@roomchang.com with the approximate date and time of the call. If you would rather not be recorded, use the text chat: the microphone is never opened until you allow it, and “Continue by text” is available from the first screen.

Where you have allowed it, we record which pages you view and which buttons you press, together with the IP address the request came from, your browser’s user-agent string, and a random identifier that lasts only until you close the tab. This is our own measurement — there is no advertising tag, no third-party analytics product and no tracking cookie on these pages.

On the French, Spanish and German pages nothing is recorded until you choose “Allow”. If you choose “No thanks”, nothing is sent and the page works identically. You can change your mind by clearing this site’s data in your browser.

Enquiries, appointment requests and uploaded files are stored in a database operated for Roomchang and are visible to Roomchang staff. Enquiries are also emailed to the hospital at contact@roomchang.com. Measurement data is stored separately and is used only to understand which parts of these pages help patients.

The conversation you have with the assistant, by text or by voice, is processed by a third-party language model in order to generate its replies — Google’s Gemini models, or the same model through OpenRouter when Google cannot be reached from your network. Voice conversations also pass through the voice service described above.

You can ask us what we hold about you, ask for it to be corrected, or ask for it to be deleted, by writing to contact@roomchang.com. If you are in the EU or the UK you have these rights under the GDPR, and you may also complain to your national data protection authority.
